Terms & conditions for nominations
- The entry deadline is Friday 28th May at 5pm. Please ensure you complete your entries by this date. Please complete all sections of the form - entries that are incomplete, sent in after the deadline or exceed the stated word limit of 250 words will not be accepted. Nomination forms for each award category can be accessed from the Thriving Communities Awards main webpage.
- Please ensure you read the criteria for the awards you are entering a nomination for. Remember to use evidence such as quotes and figures, and include as much information as possible on your entry form.
- By submitting your entry, you confirm that you have read and understood these terms and conditions and agree to be bound by them.
- Orbit’s decision as to whether an entry is eligible is final and we are not obliged to provide any reasons for disqualification.
- No entries will be accepted after the deadline on 28 May 2021 at 5pm.
- All completed and returned entries will be acknowledged online at the time of submission.
- Orbit do not accept any responsibility for loss of or damage to any entry.
- The shortlisted finalists will be chosen by a panel of judges including one independent judge and two customer and community board members. The judges’ decision is final, and no correspondence or discussion will be entered into or feedback given regarding the selection of shortlisted finalists or winners.
- Orbit will publish all finalists for public voting, after seeking approval. Following the public vote, winners and highly commended entries will be made public for future marketing and promotion.
- Orbit reserve the right to extend the closing deadline, amend categories or not award categories should the entries received not reach the required standard.
- Failure to comply with the entry requirements will result in disqualification. Orbit reserves the right to withdraw this competition at any time as a result of unforeseen circumstances.
- Orbit will use your personal information only in accordance with these terms and conditions and our Privacy Policy.
- Winners will be asked to take part in non-paid publicity including photography if required, relating to the competition.
- To withdraw an entry please email T.C.A@orbit.org.uk
- You will retain ownership of all intellectual property rights (including copyright) in your entry, but you agree to grant us a licence to use it for the purposes of the competition. The licence will last for the duration of the relevant intellectual property right and includes the right for us to:
- edit or modify your entry (including resizing, adjusting the colour and adding elements such as text)
- adapt it or incorporate it into other materials;
- sub-licence it to third parties or companies in our group to use for the purposes of the competition; and
- republish it (or any version modified in the way described above) on any media anywhere in the United Kingdom.
- You confirm that your entry:
- is your own original work and does not breach any third party’s intellectual property rights (for example, by including a company’s trade mark without permission);
- can be submitted to us and used without breaching any contractual obligation to any person; and
- does not contain anything which may be confidential or commercially sensitive.
Terms & conditions of judging
- The judges’ decision is final, and no correspondence or discussion will be entered into or feedback given regarding the selection of shortlisted nominations or winners.
- Shortlisted finalist will be contacted by email (on the address provided in the application) within two weeks of the closing date (by 11 June 2021).
- In the interest of transparency, judges and sponsors are ineligible to enter themselves or be entered by someone else.
- In the interest of fairness, entries will be redacted with any personal information including name, age, race, location.
- Judges will not allow personal relationships or experiences to influence judging marks or decisions and their judging will be impartial and based on the standard of entry, campaign, organisation or product.
- Judges will declare any perceived conflict of interest to the event organisers ahead of reading any entries.
- All judging discussions are confidential and will not be shared or discussed with anyone outside of the judging panel ahead of the ceremony or thereafter.
- Judges will not share confidential material, judging papers or entries with anyone. Judges will securely delete all judging materials immediately after the judging period.
- Judges can only read entries that they have been provided to score.
- Judges will not notify anyone that they have won or that they are shortlisted ahead of the official announcements.
- Judges will not provide any feedback to entrants as to why they have not won or were not shortlisted.
- Should a judge break the rules of conduct and the code is not adhered to, they will be asked to leave the panel and not invited to judge any future awards.
- Finalists will have two working days to review their story to be published online for the final public votes. If no response is given, we will take this silence as approval to use the wording as it is written.
- Filming & Photography
- There will be professional photographs and videos produced of the award winners. Photographs and videos taken at the award giving events are the intellectual property of Orbit and will be such used in promotion and marketing post-event.
- Trophies
- All trophies are inspected prior to being sent. Once these trophies have been handed over, you are responsible for the trophy from thereon. Should you require a replacement trophy, please contact T.C.A@orbit.org.uk
